Automotive accountants in Dubai handle the VAT points that trip up garages, used-car dealers and spare-parts traders: VAT on deposits and advance payments, trade-ins and discounts, imported parts, warranty work and the profit margin scheme for second-hand vehicles. The Accountants Factory covers all of it inside one fixed price, agreed in advance and set by the number of transactions you post each month. Zero Penalty Assurance, in writing, comes with every package.
What do automotive accountants in Dubai do for garages, dealers and parts traders?
The motor trade moves fast and the paperwork lags behind. A customer pays a deposit on Monday, a car arrives from Japan on Wednesday, a part gets swapped under warranty on Friday, and the trade-in valuation is agreed on a handshake. Each of those events has a VAT answer, and the FTA expects your books to show it.
Our monthly work is simple. You send us sales invoices, workshop job cards, supplier bills, customs papers, receipts and bank statements by WhatsApp or online. We post them, reconcile the bank, check the VAT on every line, prepare the quarterly return and a quarterly Profit & Loss, and keep the Corporate Tax side ready. We use Tally in house, or your own Odoo, Zoho, Xero or QuickBooks.
What the FTA expects from an automotive business
The VAT law is Federal Decree-Law No. 8 of 2017 and its Executive Regulation, Cabinet Decision No. 52 of 2017. These are the points that cause the most trouble in our experience of motor-trade books.
Deposits and advance payments
When a customer pays you a deposit against a car, a repair or a parts order, VAT can fall due at that moment, not when the car is delivered. If you book the deposit as a liability and only charge VAT on delivery, the return can come out wrong. We explain the rule in VAT on advance payments and deposits. The habit that fixes it is to issue a tax invoice or receipt for every deposit and send it to us.
Trade-ins and discounts
A car taken in part exchange is a purchase from the customer, and a sale to the customer at the same time. The two sides must be recorded separately, with the agreed values, or your margin and your VAT will both be off. Discounts need care too: VAT is charged on the price the customer actually pays, and the discount has to be properly shown on the invoice. Read VAT on discounts and rebates if you offer end-of-month deals or dealer rebates.
Imported parts and vehicles
Parts and vehicles bought from abroad carry import VAT, paid at customs or accounted for under the reverse charge. The input VAT can be reclaimed only if the customs document is booked and kept. Parts traders with many small shipments should send every customs entry the month it is cleared, so none is forgotten. Our guide to output VAT vs input VAT is a good refresher on how the two sides net off.
Warranty work
If a manufacturer or importer pays you to carry out warranty repairs, that payment is for a service you supplied to them. The VAT treatment depends on who pays you and where they are based, so keep the warranty claim, the invoice you raised and the payment together. We check the treatment before the return goes in.
The profit margin scheme for used vehicles
The Executive Regulation (Cabinet Decision No. 52 of 2017) contains a profit margin scheme that lets a dealer in second-hand goods account for VAT on the margin instead of on the full selling price, subject to conditions. If you use it, you generally keep a record for each vehicle: what you paid, from whom, what you sold it for, and the margin. You also cannot reclaim input VAT on stock bought under the scheme. The scheme has conditions, so we confirm that your purchases qualify before applying it.

Which package fits a garage, a dealer or a parts trader?
A transaction is a line that needs booking: a job card, a parts purchase, a sale, a bank charge, a salary payment. The bands below are typical shapes. We confirm after seeing a month of your documents.
| Business | Transactions a month | Package |
|---|---|---|
| Two-bay garage with regular customers and a small parts stock | 150 to 180 | Fixed price, quoted by volume |
| Very small workshop or a single-person parts trader | Low volume | Fixed price, quoted by volume |
| Multi-brand dealer with sales, trade-ins, finance and imports | 250 to 300 and above | Fixed price, quoted by volume |
| Group with two or three trading licences | Varies | Quoted on request |
What this costs
- One fixed price for books, VAT and Corporate Tax together, set by your monthly transaction volume and agreed before we start.
- Groups with two or three trading licences: quoted on request.
- Corporate Tax filing for sales under AED 3M: fixed fee, quote on request.
There are no hourly extras when your bank, auditor or the FTA asks a question.
Why owners in the motor trade pick a fixed-price firm
Garage and dealer margins swing with every season and every shipment, so the accountant should not be a variable cost on top. A fixed price lets you plan, and it gives us a reason to get the books right early. When you compare firms, what to look for in an outsourced accounting firm lists the questions worth asking.
Our team is CA-led, we have served 572+ UAE businesses over 18+ years, and our record is zero FTA penalties on our watch. We visit sites across the UAE, and automatic reminders go out ahead of every cut-off: accounting data by the 5th of the following month and VAT data by the 15th of the month after the VAT period closes.
Zero Penalty Assurance, in writing: where your data reaches us by the agreed cut-off dates, we assure that no FTA penalty will arise from late or incorrect filing, and if a penalty arises from a mistake in our submission, we bear that fine.

Frequently asked questions
What do automotive tax consultants in Dubai charge?
We do not charge by the hour. One fixed price, agreed in advance and set by your monthly transaction volume, with Zero Penalty Assurance in writing. Send us your approximate monthly transaction count and we reply with the price.
Do I charge VAT on a deposit for a car or a repair?
VAT can become due when you receive a deposit, not only on delivery. Issue a tax invoice or receipt for every deposit and send it to us so it is recorded in the right period.
How does car dealership accounting in the UAE treat a trade-in?
A trade-in is a purchase from the customer and a part-payment on your sale, and each side should be recorded with its agreed value. The VAT result depends on who the customer is and whether you apply the profit margin scheme.
Can a used-car dealer use the profit margin scheme?
The VAT Executive Regulation (Cabinet Decision No. 52 of 2017) allows a margin scheme for second-hand goods under conditions. You need per-vehicle records and cannot reclaim input VAT on stock bought under it. We check eligibility before applying it.
Can you do garage bookkeeping in Dubai from job cards and WhatsApp photos?
Yes. Send job cards, supplier bills, receipts and bank statements online or by WhatsApp. We post and reconcile them monthly.
