Gym Accountants in Dubai: Memberships, VAT and Corporate Tax

Why UAE businesses choose us:

Gym accountants in Dubai handle three things most general bookkeepers get wrong: VAT on memberships paid up front, the line between a personal trainer who is a supplier and one who is staff, and Corporate Tax, including Small Business Relief for studios under AED 3M in revenue. At The Accountants Factory a boutique studio and a multi-site gym each pay one fixed monthly price, set by transaction volume, with VAT, Corporate Tax and books included.

Zero Penalty Assurance, in writing: where your data reaches us by the agreed cut-off dates, we assure that no FTA penalty will arise from late or incorrect filing. Should a penalty arise from a mistake in our submission, we bear that fine.

How should a gym handle VAT on annual memberships paid up front?

Under the UAE VAT law, VAT is due at the time of supply, and the time of supply moves earlier when you issue an invoice or receive payment. For a gym, that means an annual membership paid in January creates a VAT liability in the return covering January, not spread across twelve months. Many owners book the cash as monthly income and then find the VAT return does not match the books.

The practical fix is to keep two views of the same sale: the VAT view (when the invoice or payment happened) and the accounting view (when the service is delivered). Your books should show unearned membership revenue for the months still ahead, while your VAT return reports the full amount invoiced. Our post on VAT on advance payments and deposits explains the mechanism in more detail.

Joining fees, freezes and cancellations

  • Joining and registration fees: these are part of the price of the membership supply and carry VAT when charged, even if the member never returns.
  • Freezes: a freeze that only pauses the term changes the service dates, and the VAT already charged stays as it was. Record the freeze so the unearned balance in your books stays right.
  • Refunds and early cancellations: a refund needs a credit note that matches the original tax invoice, otherwise the VAT you already paid cannot be adjusted on a later return.
  • Packages and class bundles: keep the expiry date on the invoice. Unused sessions matter to your books and your VAT return alike.

Every tax invoice must carry the details the VAT law requires. If your booking app prints receipts only, check them against the invoice rules before the next quarter. Missing details are also what sink input VAT claims, as our guide on reclaiming VAT on business expenses shows.

What the FTA expects from a gym or fitness studio

A gym’s records are simple in volume and easy to get wrong in timing. The FTA expects tax invoices and credit notes for every taxable sale, VAT returns that match them, and records kept in a form that can be produced on request. Corporate Tax adds the requirement to keep financial statements and supporting documents for your tax period.

  • VAT treatment: memberships, personal training sessions, classes and merchandise are normally standard-rated supplies. Check with us before assuming any line is exempt or zero-rated.
  • Record-keeping: member contracts, payment gateway reports, bank statements, supplier invoices for equipment and rent, and trainer agreements.
  • Volume: a studio with a few hundred members usually produces a modest number of monthly transactions; a multi-site gym with retail, a café and trainer payouts produces many more. That volume decides the package.

Personal trainers: supplier or staff?

Many gyms pay trainers a share of each session. The first question is the relationship. A trainer on your payroll is staff; you pay a salary and the sessions are your supply. A self-employed trainer who invoices you for coaching or rents floor space from you is a separate supplier. Mixing the two puts errors into both the books and the VAT return.

  • If the trainer is a supplier, you need their invoice. If they are VAT-registered, that invoice carries VAT you may be able to recover as input tax. If they are not registered, there is no VAT to recover and the payout is a plain expense.
  • If you collect the member’s fee and pass a share to the trainer, decide who the member is buying from. Your invoice to the member should match that answer.
  • A trainer who works only for you raises a staffing question as well as a tax one. Put the arrangement in a written agreement and keep it with your records.
  • A trainer whose own turnover passes the mandatory registration threshold in the VAT law has to register in their own right.

Equipment, fit-out and Corporate Tax

Machines, mirrors, flooring and studio fit-out are capital items. Under Corporate Tax they are written off through depreciation over their useful life instead of being deducted in one go, so your books need an asset register with purchase dates and invoices. Leasehold improvements, sound systems and reformers all belong in it.

Corporate Tax applies to a gym that is a UAE company or licensed business, including free zone entities. File on time even if no tax is due. The late-filing penalty is monthly: AED 500 per month for the first 12 months and AED 1,000 per month after (Cabinet Decision No. 75 of 2023). Our post on the Corporate Tax rate for small companies covers the rate and the exemptions.

Small Business Relief for studios under AED 3M

Ministerial Decision No. 73 of 2023 lets a business with revenue of AED 3M or less treat itself as having no taxable income for eligible tax periods ending on or before 31 December 2026. The relief must be elected on the Corporate Tax return. It is not applied automatically, and it does not remove the duty to register, keep records and file.

What this costs

Boutique studios, multi-site gyms and very low-volume operations each pay one fixed price, agreed in advance and set by the number of transactions you post each month, with VAT, Corporate Tax and books included. A Corporate Tax return for sales under AED 3M is a fixed fee, quote on request. Two or three gym entities under one owner can be priced together as a group.

Why owners in fitness pick a fixed-price firm

Gym revenue is predictable, so your accounting bill should be too. Hourly billing punishes you for every membership question in a busy January. A fixed price means you can ask about a freeze, a refund or a trainer payout without watching a clock. Our write-up on choosing an outsourced accounting firm lists what to ask any provider before you sign.

Frequently asked questions

Do gyms in Dubai charge VAT on memberships?

Yes, memberships, joining fees, classes and personal training are normally standard-rated supplies. VAT is due when you invoice or receive payment, whichever comes first, even if the membership runs for a full year.

Do I charge VAT on a joining fee that is not refunded?

Yes. A joining or registration fee is part of the price of the membership service, so it carries VAT when charged.

Can a personal trainer be self-employed in my gym?

Yes, if the arrangement is genuinely independent and documented. They invoice you or rent space from you, and you keep their invoices. If they work only for you under your direction, get the arrangement checked.

Does Small Business Relief apply to my fitness studio?

If your revenue is AED 3M or less, you can elect Small Business Relief under Ministerial Decision No. 73 of 2023 on the Corporate Tax return, for eligible tax periods ending on or before 31 December 2026. You still register, keep records and file.

How much does gym bookkeeping cost in the UAE?

One fixed price, agreed in advance and set by your monthly transaction volume, with Zero Penalty Assurance in writing. Send us your approximate monthly transaction count and we reply with the price.
