Retail Accountants in Dubai: POS, VAT Returns and Stock Control

Why UAE businesses choose us:

Retail accountants in Dubai earn their fee on one problem: your till total and your VAT return rarely match on their own. Returns, discounts, vouchers, tourist refunds and cash rounding all move the number between the Z-report and the ledger. A retail accountant reconciles each of those every month, keeps stock records ready for Corporate Tax, and has your file ready if the FTA asks. We do this for shops from one outlet to several licences.

Why do POS totals and VAT returns not match for a retailer?

The POS records what happened at the counter. The VAT return records what the law says happened. The gaps are predictable, so each can be traced:

  • Returns and exchanges. A sale reversed at the till needs a matching tax credit note in your books, or the output VAT stays on the return.
  • Discounts. A discount given at the till reduces the taxable value. A discount given later is treated differently. See our guide on discounts and rebates.
  • Vouchers and gift cards. Money received for a voucher is not the same event as the sale made when it is redeemed. Your POS may log both in one line.
  • Tourist refunds. If you take part in a tourist refund scheme, the refunded VAT must be traced to the original sale. Read the rules for tourist VAT refunds before you sign up for one.
  • Cash rounding. Rounding to the nearest coin creates small differences each day that add up across a quarter.

None of these is a mistake in itself. The mistake is not reconciling them, so the quarter ends with a difference nobody can explain.

What daily habits keep a retail file clean?

  • Print or save the Z-report at close every day, and file it by date.
  • Count the cash drawer against the Z-report and write the difference down, even when it is small.
  • Record the card settlement from your payment provider against the card sales it covers. Settlements arrive days later and net off fees.
  • Log voids, returns and manual discounts with a reason, and have the manager initial them.
  • Keep supplier invoices in one place the same day they arrive.

These five habits take a few minutes. They are the difference between a quick month-end and a week of chasing paper.

Stock counts and Corporate Tax

Closing stock affects profit, and profit drives Corporate Tax. If your stock figure is a guess, your tax number is a guess. Count stock at least at your financial year-end, value it at cost, and write down items that cannot be sold. Your accountant needs the count sheet as well as the final figure. If you also hold stock for other brands on consignment, tell us, because that stock is not yours to count.

Corporate Tax filing is annual, and a late return carries a monthly penalty under Cabinet Decision No. 75 of 2023: AED 500 per month for the first 12 months and AED 1,000 per month after. Getting stock right early removes the scramble at year-end.

What the FTA expects from a retail business

The FTA expects a retailer to issue valid tax invoices where required, account for output VAT on every standard-rated sale, and keep the records behind each return. For small sales you may issue a simplified invoice, but the details it must carry are set by the law. Our post on whether you need a VAT invoice for every sale explains the line.

  • VAT treatment. Most retail sales are standard-rated. Some goods are zero-rated or exempt, and a mixed shop must tag each product correctly in the POS.
  • Record-keeping. Daily sales summaries, tax invoices, credit notes, supplier invoices, stock records and bank statements, all retrievable by date.
  • In an audit. Expect a request to reconcile POS sales to the returns filed, to show purchase invoices for the input VAT recovered, and to explain refunds and discounts. A file kept monthly answers that quickly.

A mismatch between declared sales and what the till or the bank shows is exactly the gap an audit looks for. Reconciling monthly is the cheapest protection. For how a late VAT filing gets sorted out, read how a Dubai retailer avoided VAT late filing penalties.

What this costs: which package fits your shop?

We price by the number of monthly transactions, whatever the size of your shop. Tell us how your POS posts its data and we confirm the band.

BusinessPriceWhat it covers
Single store, low volumeFixed price, quoted by volumeQuoted to your volume
Single store, 150 to 180 transactions a monthFixed price, quoted by volumeVAT, Corporate Tax and books
Higher volume, 250 to 300 transactions a monthFixed price, quoted by volumeVAT, Corporate Tax and books
Group with 2 licencesQuoted on requestBoth companies
Group with 3 licencesQuoted on requestAll three companies

Every price is fixed and agreed in advance. Corporate Tax filing under AED 3M in sales is a fixed fee, quoted on request.

Why owners in retail pick a fixed-price firm

A shop has thin margins and a busy counter. An hourly bill that grows every time you ask a question is a bad fit. A fixed price means you can ask about a refund, a supplier invoice or a voucher without watching the clock. It also means the cost shows up in your budget as one line.

Our Zero Penalty Assurance is in writing: where your data reaches us by the agreed cut-off dates, no FTA penalty arises from late or incorrect filing, and if our mistake causes one, we bear it. Cut-offs are simple. Monthly accounting data by the 5th of the next month, VAT data by the 15th after the period closes. Reminders are automatic.

How do you send us your retail data?

Export the monthly sales summary from your POS, photograph supplier invoices, and send the card settlement statements and bank statements by WhatsApp or online. We work in Tally in house and support your Odoo, Zoho, Xero or QuickBooks setup. Onsite visits are possible across the UAE.

We have served 572+ UAE businesses over 18+ years, with zero FTA penalties on our watch.

Tell us how many outlets you run and which POS you use, and we will name the package. WhatsApp us on +971 54 1721 823.

Frequently asked questions

Do retail shops in Dubai need an accountant for VAT?

A VAT-registered shop must keep records and file returns on time. An accountant reconciles the POS data to the return each quarter so the figures hold up.

How do I reconcile POS sales to my VAT return?

Total the Z-reports for the period, adjust for returns, vouchers, tourist refunds and rounding, then compare with the sales declared. The remaining difference should be zero or explained.

How much does retail bookkeeping cost in Dubai?

One fixed price, agreed in advance and set by your monthly transaction volume, with Zero Penalty Assurance in writing. Send us your approximate monthly transaction count and we reply with the price.

Can one package cover several shop licences?

Yes. One package can cover two or three licences, at a fixed price quoted on request.

What does the FTA ask a retailer for in an audit?

Typically your sales records matched to returns, purchase invoices behind input VAT, credit notes, and stock and bank records.
