1. Introduction
This Privacy Policy explains how THE ACCOUNTANTS FACTORY FZE LLC (“The Accountants Factory”, “TAF”, “we”, “us” or “our”) collects, uses, stores, shares and protects personal data when you engage our accounting and tax services or use our website at https://theaccountantsfactory.com. We are an accounting and tax firm based in Dubai, United Arab Emirates, serving clients across all seven Emirates and remotely. We are committed to handling your personal data responsibly and in accordance with the principles of the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) (the “PDPL”) and applicable Federal Tax Authority (“FTA”) requirements.

3. The information we collect
Depending on how you interact with us, we may collect and process the following categories of personal data:
- Client identity and contact details: name, job title, business name, address, email address(es), telephone and WhatsApp number(s), and, where relevant, Emirates ID, passport or trade-licence information used to verify identity.
- Financial and tax records: accounting records, bank statements, invoices, receipts, payroll information, financial statements and other records necessary to deliver bookkeeping, accounting, VAT, Corporate Tax and audit-support services.
- FTA-related data: Tax Registration Numbers (TRN), VAT and Corporate Tax registration details, EmaraTax portal information, returns, disclosures, correspondence and submissions made to or received from the Federal Tax Authority on your behalf.
- Website and analytics data: information collected automatically when you visit our website, such as IP address, browser type, device information, pages viewed and similar usage data, including through cookies and analytics tools (see Section 10).
- Communications: records of correspondence, enquiries, booking requests and information you provide when you contact us or book a strategy call.
4. How we collect your information
We collect personal data:
- directly from you when you engage our services, complete forms, send documents, or communicate with us by email, phone, WhatsApp or our website;
- automatically when you use our website, through cookies and analytics technologies; and
- from third parties where you have authorised it or where lawfully permitted, such as banks, regulators or your other professional advisers, in order to deliver the services you have requested.
5. Why we use your information and our lawful basis
We process your personal data only where we have a lawful basis to do so under the PDPL. Our purposes and bases include:
- To provide our services (accounting, bookkeeping, VAT, Corporate Tax, audit support and advisory) – performance of our engagement or contract with you.
- To comply with legal and regulatory obligations, including FTA filing, record-keeping and anti-money-laundering requirements – compliance with a legal obligation to which we are subject.
- To communicate with you about your engagement, respond to enquiries and provide support – performance of our contract and our legitimate interest in serving you.
- To operate, secure and improve our website and understand how it is used – our legitimate interest, and your consent where required for non-essential cookies.
- For our own business administration, including billing, internal record-keeping and protecting our legal rights – our legitimate interest.

6. Storage and security
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. These measures include access controls, secure cloud-based storage, encryption in transit where appropriate, and limiting access to personal data to staff and processors who need it to perform their roles. While we work hard to safeguard your data, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. How long we keep your data (Retention)
We retain your personal data for as long as necessary to provide our services to you and to meet our legal, regulatory, tax and anti-money-laundering record-keeping obligations.
- FTA record-keeping: UAE tax law and FTA rules require accounting and tax records to be retained for a minimum of 7 years, and in certain cases for up to 15 years, from the end of the relevant tax period (for example, under the VAT and Corporate Tax record-keeping frameworks).
- Anti-money-laundering (AML/CFT): As a firm of accountants, we are a Designated Non-Financial Business or Profession (“DNFBP”) under the UAE AML/CFT regime (Federal Decree-Law No. 20 of 2018 and its implementing regulations). We are legally required to keep certain client records and to file Suspicious Activity / Transaction Reports with the UAE Financial Intelligence Unit (via the goAML platform). Records held for these purposes are effectively immutable and, once provided, may be retained permanently to the extent required for AML compliance and cannot be erased.
Outside these mandatory retention requirements, we delete or anonymise personal data once it is no longer required for the purposes for which it was collected.
8. Third parties we share data with
We do not sell your personal data. We share it only where necessary to deliver our services and meet legal obligations, including with:
- The Federal Tax Authority (FTA) and its EmaraTax portal, where we file returns, registrations or disclosures on your behalf;
- Cloud and software providers that host our systems and the accounting platforms we use (such as our bookkeeping, document-storage and email providers);
- Payment processors and our bank, to process fees and payments;
- Professional advisers, auditors and regulators, where required to deliver the engagement or comply with the law.
We require our processors to handle personal data only on our instructions and to protect it appropriately.
9. Cross-border transfers
Some of our service providers may store or process data outside the United Arab Emirates. Where personal data is transferred outside the UAE, we take steps to ensure it is protected to a standard consistent with the PDPL, including by relying on appropriate safeguards or legal bases for the transfer. By engaging us, you acknowledge that your data may be processed in this way to deliver the services you have requested.
10. Cookies, analytics and advertising technologies
Our website uses cookies and similar technologies. Essential cookies are necessary for the site to function. We also use analytics technologies to understand how visitors use our site, including Google Analytics, Microsoft Clarity (which provides aggregated heatmaps and anonymised session recordings of how visitors interact with our site, with sensitive content masked) and Cloudflare Web Analytics. These tools may collect information such as your IP address, device and browser information, and pages visited, and may set their own cookies.
In addition, we use advertising and retargeting technologies (commonly called “pixels” or “tags”) provided by third-party advertising platforms to measure the performance of our marketing and to show relevant ads to people who have visited our website. These currently include, or may include, the Meta Pixel (Facebook and Instagram), the TikTok Pixel, the LinkedIn Insight Tag and the X (formerly Twitter) Pixel. These tools may set their own cookies and collect information such as your IP address, device and browser details, the pages you view and the actions you take on our site, and may share this information with the relevant advertising platform so that we can measure conversions and deliver targeted advertising. Any data collected by these platforms is also governed by their own privacy policies.
Where required by law, we will ask for your consent before setting non-essential analytics or advertising cookies. You can control or disable cookies through your browser settings, and you can opt out of personalised advertising through each platform’s own ad settings or through recognised industry opt-out tools; disabling some cookies may affect how the website works.
11. Your rights
Subject to the PDPL and applicable law, you have rights in relation to your personal data, including the right to:
- access the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request erasure of your data, subject to the important limitation below;
- object to or request that we restrict certain processing;
- withdraw consent where we rely on it; and
- request that your data be transferred where applicable.
Important limitation on the right to erasure: Your right to request deletion of your data does not override our legal and regulatory retention and reporting obligations. As an accounting firm and DNFBP, we are required by UAE tax law, FTA rules and the UAE AML/CFT regime (Federal Decree-Law No. 20 of 2018) to retain certain records for the minimum periods described in Section 7 (up to 15 years, and permanently where required for anti-money-laundering compliance), and to file Suspicious Activity / Transaction Reports with the UAE Financial Intelligence Unit. We cannot erase data that we are legally required to retain or report, even if you request it. To exercise any right, contact us at [email protected]. 12. Confidentiality
We treat all client information as strictly confidential. We will not disclose your data to third parties except as described in this Policy, as required to deliver our services, or as required by law or regulation. We are not responsible for the privacy practices of any third-party websites that may be linked from our site.
13. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or the law. The current version is identified by the “Last updated” date above. We encourage you to review this page periodically.
